? Coordination for printing of visiting cards, issuing of access cards and ID cards to new employees.
? Procurement of good quality office stationery items and paper for office use.
? Responding to emails/complaints, issues raised by employees and providing solutions and assistance.
? Maintaining the records of entry and exit details and ensuring security within the office premises. Ensuring guards are performing their duties as per the requirements.
? Dealing with routine office emergencies and crisis management and organizing fire drills and fire and safety protocols.
? Work on the green compliance reporting and sustainability initiatives and certifications.
? Responsible for maintenance of air conditioners, fire and electric panel, security and all other office systems and ensuring proper maintenance support is available.
? Responsible for procurement of furniture and other assets, getting them added to assets register with Company IDs and getting them insured after coordinating with finance.
? Ensure all statutory compliances related to administrative aspects and liaise with concerned agencies / Govt. departments as required - electricity board, Municipal Corporation, telephone provider and others.
? Responsible for vendor management and getting the contracts done.
? Responsible for upkeep of the office and getting repairs done.
? Responsible for allotment of parking slots and sharing monthly deduction sheets with HR.
? Responsible for submission of budget to finance and track and reforecast during the year
? Responsible for bookings and on time submission of bills related to cabs and other expenses to Finance.
? Responsible for creation of purchase orders and submission of invoices to finance after checking the quality and quantity of ordered product/checking the service levels in case of service contracts.
? Monitor and ensure the facility is maintained in proper, hygienic, and clean conditions all the time.
? To ensure that the office pantry and office consumables are well stocked, and that the pantry staff are performing their duties to office expectations and requirements.
? Responsible for disposal of old assets and maintenance of store.
? Helping HR department in organizing various events etc.
? Coordinating with building management on maintenance issues.
? Responsible for any work related to lease deed registration. Any other duties assigned from time to time.
- Excellent communication (both written and verbal) - Should have experience in Facility Management and establishing relationships with Building Management etc. - Should have experience in managing a project of office shifting/ refurbishment. - Excellent with MS Excel, maintaining trackers and cost sheets. - Ready to work from office for all days (Mon-Fri)
